We are looking for a reliable Office Administrator. They will undertake administrative tasks, event planning and execution, and other tasks that help to ensure the rest of the staff has adequate support to work efficiently.

The ideal candidate will be competent in prioritizing and working with little supervision. They will be self-motivated and trustworthy.

The office administrator ensures smooth running of our Shul’s office, activities, and membership interactions.

Responsibilities
• Coordinate office activities and operations to secure efficiency and compliance to company policies
• Track stocks of office supplies, copier supplies, maintenance supplies, etc and place orders when necessary
• Work with the team to plan, coordinate, and efficiently execute on all Shul events and activities on The Shul calendar
• Help staff Shul events when necessary
• Manage phone calls and correspondence of Shul members(e-mail, letters, packages etc.)
• Ensure the printing of the weekly bulletin
• On-board all new Shul members
• Reach out to Shul members with life events to get sponsors for the weekly Shabbat Kiddush
• Order the weekly Kiddush meal
• Ensure all sponsorships events are invoiced and paid
• Submit timely reports and prepare presentations/proposals as assigned
• Assist with office vendors, service providers, and office equipment leases.
• Assist colleagues whenever necessary
• Assist the Rabbis and Schluchim with all administrative requests
• Assist the Maintenance Manager with building cleaning staff

Requirements and skills
• Proven experience as an office administrator, office assistant or relevant role
• Strong organizational and planning skills in a fast-paced environment
• Excellent written and verbal communication skills
• Excellent organizational and time management skills
• Ability to multi-task and prioritize work
• Attention to detail and problem solving skills
• Familiarity with office management
• Excellent knowledge of MS Office (Excel, and Outlook in particular) and office management software (ERP etc.)
• High school diploma; BSc/BA in office administration or relevant field is preferred
• Understand/Utilize of the Purchase Order system
• Bilingual helpful
